Media-conferences: Local screening of internet broadcasts

Host a media-conference and invite local decision makers and final consumers to your premises to view an Internet Broadcast of a ManagEnergy Event and participate in targeted discussions.

Apart from its energy and transport policy objectives the ManagEnergy Inititative is developing new ways to co-operate with actors interested in energy and transport policy implementation and development at local and regional levels. Also, ManagEnergy will support capacity building and networking between local and regional energy actors, including Candidate Countries.

A part of this new way of working is based on the use of modern information technology: all ManagEnergy events will be transmitted in live on Internet allowing the interactive multilingual participation of interested parties. Local and regional organisations are encouraged to host media-conferences for these events so that interested parties from their region can benefit from ManagEnergy activities.

What is a media-conference?

A media-conference is a local screening of a European 'internet broadcast' or a part of it. An internet broadcast is normally an event transmitted on Internet (via a combination of multilingual voice and image transmission with integrated Power Point presentation linked with an interactive multilingual 'chat'). Often European internet broadcasts are based on simultaneous conventional events taking place in Brussels or elsewhere in Europe.

Media-conferences allow any organization to provide local, regional or national energy actors and decision-makers with interactive participation in a European internet broadcast in order to learn about topical Community energy and transport policies and activities. By removing the need to travel to Brussels, media-conferences save money and time whilst benefiting the environment. They provide you with a high profile information technology tool enabling you to communicate Community energy and transport issues to your customers and citizens better and more cost-efficiently. They will also allow you and your local audience to communicate directly with the Commission experts on energy and transport. They will also allow you to take a head start in entering a new European era of higher economic performance and environmental responsibility with more transparent co-operation and accessibility to information, as discussed in the Commission eEurope Initiative and in the White Book on European Governance.

How do I organise a media-conference?
1. Identify which European events and topics your clients and collaborators can benefit from.

Example: you know that your clients can benefit from the topic of 'Financing Local and Regional Energy Activities' discussed during the second day of the ManagEnergy Annual conference in November 2002. You decide to invite relevant energy actors from your country to a media-conference organized in your premises in order to follow exclusively these conference discussions, instead of the whole two-day conference.

The discussion will provide your audience with up-dated information about the present and future financing opportunities available during the coming years. Directly afterwards, you want to conduct a more locally targeted discussion with your audience on the basis of the conference deliberations. For this task, you choose the national energy agency as your partner. After the conclusions of your deliberations, you decide to feed a few further questions to the conference discussion in Brussels through the interactive multilingual Internet Chat also available as part of the online event.

2. Decide whether you want to organize your media-conference during the actual European event transmitted live on Internet or after the event on the basis of the video recordings provided on this website.

The former option allows you to benefit from fresh information as well as from the opportunity of discussing issues with the Brussels conference audience through the simultaneous interactive Internet Chat.

The latter option allows you advance viewing of the conference recordings in order to choose presentations and discussions that best comply with the specific needs of your audience. You may gain in control but lose the direct influence of your audience in the main conference. Additionally, only the English language recordings will include the integrated Power Point presentations.

3. Inform the ManagEnergy team about your intention to host a media-conference either during or after the main event by registering to host a media-conference on the ManagEnergy web site.

Registration will help the ManagEnergy team to send you information on relevant details of the conference that may be valuable to you (e.g. information on technological support, including details of contact persons, possible conference programme updates, etc.). After the next step (four), you can always update the information you have provided, complete it with further details on your media-conference programme, objectives or attendee details, or even cancel your media-conference due to a possible 'force-majeur' or other reason), if you like. After you have registered, your contact details will appear on the web among those intending to organize a media-conference. However, if you do not want this information to be visible for other web uses, please indicate this in the registration form. This will keep your information within the ManagEnergy team only until you decide otherwise.

4. Draft a programme for your media-conference, select the audience, premises, technology and invite the participants.

For your media-conference programme, you can benefit from the information disseminated on the ManagEnergy web, including slides presentations, technical support and other pre-conference information. Your premises should be equipped with a computer with a LAN, ADSL or similar connection to the Internet, Windows Media Player or Real Time Player, and a projector.

5. Hold your media-conference with help of the Internet Broadcast facilities provided by the Commission in screening the selected European event, or parts of it, live or from recordings, on your premises in your conference room, conduct your discussions and take part in the Internet Chat as planned.

You can join the selected European event through the Internet Broadcast facilities provided on this site. If you have any problems with the connection, the Commission tries to keep an emergency telephone line open during the event, or provide you with an e-mail connection to technical support during the event. If you have registered with ManagEnergy to host a local media-conference for a specific event, you should received details prior to the event.

6. Send the conclusions on your media-conference to ManagEnergy for addition to the website.

A transparent provision of your media-conference proceedings and conclusions will help the managEnegy team, the Commission and other actors working at local, regional and national levels to learn from your experience about what works and what does not. This applies both to your energy and transport related objectives as well as to the use of the internet broadcast facilities.
